On the night, the roster becomes a live board on a phone or tablet: a checkbox per person for attendance and an hours entry that feeds straight into payroll. Nights can carry expected start and finish times, so hours worked are compared against hours expected without anyone doing the maths by hand.
Cover moves without waking everyone's phone up
Things change on the night. Live Ops lets you move people between positions, mark someone ill, unavailable or left, and add cover — unconstrained, because the night doesn't wait for the same checks bidding did. None of it sends a notification; it's all logged to a live-ops event trail instead, so reporting later shows exactly who changed whom.
Dropout recovery: the seat refills itself
When a seat comes open — someone self-withdraws ahead of time, or you mark them ill, unavailable or left on the night, or you hit Recover slot yourself — a one-time claim link blasts to the ranked standby pool for that position. The first valid claim wins the seat; everyone else just sees it's filled. The live board updates across every device watching it, so a supervisor on one tablet sees the same picture as another across the venue.

Who can run the Live board on the night?
A supervisor role scoped to Live only — they can view and run the night's roster without any access to pre-Live setup, configuration, or contact records.
Does moving someone on the night send them a text?
No. Live Ops moves — reassignments, marking someone ill or unavailable, adding cover — are deliberately silent. They're logged to an event trail for reporting rather than triggering a notification.
What happens when someone drops out at the last minute?
The vacated seat opens a claim offer and a one-time link blasts to the ranked standby pool. The first person to claim it validly gets the seat and a re-confirmation; everyone else sees it's already filled.
Can staff cancel their own shift ahead of time?
Yes — a scheduled or live actor can self-withdraw from their own seat with notice, through the same link they bid with. That triggers the same dropout recovery flow and surfaces on your dashboard's needs-attention feed.
Does the live board work if multiple supervisors are watching at once?
Yes — it subscribes to live updates so every device watching stays in sync, whether that's one supervisor on a tablet or several across different areas of the venue.
